Frequently Asked Questions On Management System Implementation 

 

Q1: What are the necessary documents to get started for any management system implementation?

The basic documents and records are the Manual, Standard Procedures, working instructions and other records which is needed for the planning, operation of a company process(es). The consultant shall guide and assist the organisation in the preparation of these documentations and records in case if there are some shortfall of the necessary documents which are not established.

 

Q2:  My company have less than 5 employees, can I still implement management system for my organization

Yes, an organization can still implement management system. The consultant will assess the company's operation and  customize the management system accordingly.

 

Q3: What if my organisation "failed" the audit conducted by the registrars / certification bodies?

An organization will be given a non-conformance report by the registrars after the audit and these non-conformities must be rectified by the deadline given. Failure to submit the report back with the necessary actions will not be recommended by the registars for the company to be certified.

Based on the experience with countless audit, the consultant shall be able to assist and guide the organization in the preparation with some typical auditor questions prior to the audit.

 

Q4: What are the cost to engage a consultant?

The consultancy fees will varies depending on factors such as the complexity of an organization business scope, the number of staffs, the risk level of the organization, the level of documentation and records keeping as well as area of working space (e.g. warehouse logistic, manufacturing, etc)

 

Q5: How long will it take to complete the implementation of the project?

It depends on the committement level of an organization. A project can be completed within an average of 4 to 6 months if the employees are motivated and ready to put some time and efforts into this endeavor

 

Q6. Being a start up company, will we need several months of 'objective evidence' before we can attempt certification?

Registrars usually require 2 to 3 months worth of records in order to verify that the management system is implemented. During the course of implementing,  the organization is already generating those records. The auditor may be satisfied seeing a 2 to 3 months history of most records, while other records have a shorter history.  It is also advisable to dicuss the situation with the the registrar first.

 

Q7. I understand that ISO 9001: 2015 will be published in 2015, how will this affect me if I am currently been certified to ISO 9001:2008?
